From install to a fully connected site: generate your CRMax API token, test the connection, choose what to sync, set a tag and workflow, and embed CRMax forms and booking pages with shortcodes.
Install from the WordPress.org directory once the listing is live, or upload the zip: Plugins → Add New → Upload Plugin, choose the file, install, activate. A new CRMax menu is added to your admin sidebar.
The plugin connects to the CRMax platform, so you need a CRMax account. Create a free one at crmax.au. Then, inside CRMax, open Settings → API and click Generate token. The token (it starts with gsk_) is shown once - copy it straight away. You can revoke and regenerate it any time from the same screen.
Back in WordPress, open CRMax and fill in the Connection section:
| CRMax URL | Leave as https://crmax.au unless you run a self-hosted CRMax. |
|---|---|
| API token | Paste the gsk_ token you generated. Save changes. |
| Test connection | Click it: a green message confirms the account name and plan it connected to. A red message means the token or URL is wrong. |
In the Sync options section, switch on the sources you want. Each is independent - nothing is sent for a source that is off.
| Form submissions | Captures entries from Contact Form 7, WPForms, Gravity Forms, Elementor Pro Forms and Fluent Forms. Name, email, phone and company are detected automatically; everything else is stored as custom fields. |
|---|---|
| New and updated users | Sends a contact when someone registers or updates their profile. A bulk Send to CRMax action on the Users list pushes existing users. Optionally add the user's role as a tag. |
| WooCommerce customers | Creates or updates a contact when an order is paid or completed, with order total and lifetime order count. Uses the official order API (HPOS-safe). Shown only when WooCommerce is active. |
| Default tag | Applied to every contact created from this site - your site name works well, so you can segment WordPress leads inside CRMax. |
| Enrol in workflow | Pick a CRMax workflow and every new contact from your site is enrolled in it automatically - a welcome email, a nurture sequence, an internal alert. |
Three shortcodes drop CRMax public pages into any page or post as responsive iframes. Use the page's slug from CRMax, and an optional height in pixels.
[crmax_form slug="contact"] | Embeds a CRMax form. |
|---|---|
[crmax_booking slug="sales-call"] | Embeds a booking calendar. |
[crmax_funnel slug="spring-offer"] | Embeds a funnel or landing page. |
For example: [crmax_booking slug="sales-call" height="900"].
Submit a test form, or create a user with the user sync on, then look at Recent activity on the CRMax settings screen - each sync is logged as success or error - and confirm the new contact in your CRMax account with the right tags. Administrators also get a CRMax dashboard widget showing live contacts, new contacts this week, open opportunities, pipeline value, monthly revenue and upcoming bookings.
| Test connection fails | Re-check the token (regenerate in CRMax → Settings → API) and that the URL is exactly https://crmax.au with no trailing path. |
|---|---|
| A form is not syncing | Confirm the form plugin is one of the five supported, that Form submissions is on, and that the form collects an email or phone - a contact needs at least one. |
| Nothing in CRMax yet | The activity log shows what happened. Storage or hourly limits on a free CRMax plan can pause syncing - upgrade the CRMax plan or wait for the limit to reset. |
Deactivating stops all syncing immediately. Deleting the plugin removes its settings and activity log from WordPress; your contacts already in CRMax are unaffected. Your CRMax account and data live entirely in CRMax.
